Landlords Terms and Condition for Holiday and Short Term Lets

 Our terms of business are:  An ‘Up Front’ once off administration fee of £200.00 plus vat which is payable prior to advertising your property.  Our commission structure is as follows:

  1. Holiday lets (weekly or less) - our rate is 20 % plus vat of the agreed rent. 
  2. Short term lets (4 weeks up to 5 months) – our rate is 15% plus vat of the rent for the period of let.

Our aim is to be flexible as possible in tailoring our services to meet the individual requirements of the landlord. 

  1. Holiday Lets Fully Managed-Service and Fees

Holiday let (weekly or less) It is the owners responsibility to ensure that the property is a good order for letting and complies with all safety regulations.

Our service and fees are:

  • Prepare an inventory of fittings and fixtures prior to the first let
  • Advertising on websites, our data base, shop window
  • Handling all enquiries, bookings and  confirmation letters
  • Receipt and management of deposits and rent payments
  • Account to owners on the 1st of each month
  • Informing owners with regards to any repairs or maintenance required. Liaising with tenant or handling keys to allow access ( please be advised that we do not arrange for any repairs to be carried out and landlords must instruct and pay for any repairs themselves)
  • Six monthly inspections and reporting to owners condition of propertyAdvising when the Gas/Electric Safety Certificates require renewing
  • We provide a cleaning and laundry service if required , owners will be charged £15.00 plus vat per hour, the laundry charges are £7.75 per bed
  • We can provide all white bedding and towels for your property at no additional  cost.

  2 Short Term Lets- Service and Fees

  • Six monthly inspections and reporting to owners condition of property
  • Advising when the Gas/Electric Safety Certificates require renewing
  • We are happy to arrange for cleaning and laundry if required (owners will be charged £15.00 plus vat per hour) the laundry charges are £7.75 per bed
  • We can provide all white bedding and towels for your property at no additional  cost.

 Coast Properties will continue to let my property until otherwise instructed. The duration and the rent of each let shall be agreed between the Owners and Coast Properties,

1   Coast Properties will be entitled to collect all rent and hold deposits on my/our behalf. I/we further instruct Coast Properties to retain the deposit and to pay the rent. after the reduction of their charges, to the following bank account at the end of the month in which payment is received.

2   Coast Properties shall provide ___________________________________ a monthly statement showing all sums due to me/us from Coast Properties. This statement shall, manifest error and omission

excepted, be conclusive evidence of the amount due to me/us by Coast Properties. In the event of the statement showing a balance due to Coast Properties, I/we undertake to settle such debit balance within 28 days.

3      I/we agree to pay a fee of £20.00 +vat per hour for any services rendered by Coast Properties in respect of the Property additional to those services normally associated with letting property (hereafter referred to as “Additional Services). Additional Services include, but are not limited to, purchasing replacement items, arranging for redecorations receiving goods, giving access to trades people, officials.

4.    I/we confirm that Coast Properties will not be held responsible for any damage caused to the Property or its contents by the tenants or from any other source, and that the risk of any such damage and consequential loss arising there from lies with myself/ourselves.. I/we further confirm that Coast Properties shall not be responsible for instituting legal proceedings against any tenant or any other person to regain vacant possession or for any other reason, and that Coast Properties shall not be responsible for the cost of any such legal proceedings or connected cost.

5      I/we confirm that I/we shall indemnify Coast Properties and the partners thereof in respect of any liability, loss, claim or proceedings arising out of or in connection with any claim made by any third party in connection with the Property.

6.    I/we confirm that to the best of my/our knowledge that all furnishings comply with the Fire and Furnishings Safety Regulations (1998).

7     I/we understand that as a legal requirement all gas appliances must be checked once a year and a Landlords Gas Safety Certificate must be produced.  A portable appliance test (PAT Test) must also be carried out by a suitably qualified electrician and each plug labelled accordingly. You must register as a landlord with your local council office. We require your landlords registration number prior to advertising

8     I/we confirm that the house and contents are covered by comprehensive insurance and have public liability insurance detailed as follows:

9        I/we confirm that the Insurance Company and any Lender are aware that the property is to be let.

10     I/we will ensure that a folder be compiled, comprising complete and concise details of operating instructions for all electrical, gas,and/or oil appliances. All copies of Domestic Appliance Guarantees will be placed in the folder.

If living abroad and considered non-resident; for UK tax purposes there may be an obligation on an Agent or tenant to withhold an element for tax. Please ask your accountant for more details of Non-Resident Landlords Scheme to enable UK rental income to be received with no tax deducted.

Should either myself/ourselves or Coast Properties require release from this agreement; Notice to Cancel this agreement will be given in writing three months in advance.
